Audience: Company administrator, IT and security reviewers

Applies to: Jakten Quote with a Jakten AI subscription, under the *Jakten AI Data Processing Terms* version 1.1
This page summarizes what Quote's AI features send, where it goes, and what is kept. The *Jakten AI Data Processing Terms* (https://jakten.net/legal/ai_data_processing/v1.1), Schedule A, are the full list and govern where the two differ.
1. Summary
- AI is off until a company administrator opts in to the *Jakten AI Data Processing Terms*, and the company has a Jakten AI subscription.
- AI proposes; a person decides. Nothing an AI feature suggests becomes part of your evaluation until someone on your team accepts it.
- Quote works without AI. Excel, CSV, text PDF, Word and text bids, leveling, checks, the risk register, the award, letters, publication to Assurance and the rate library all work with AI off and with no internet.
2. What each feature sends
| Feature | What it sends |
|---|---|
| Reading bids | The documents a person asked Quote to read: page text with its position, page images of scanned or photographed pages, Word and text paragraphs, and workbook rows Quote could not read itself |
| Mapping | Each bid line's description, section, quantity, unit and area as written, and the vendor's name; your project's WBS (each element's code, name, parent and unit), the package's WBS scope and its note, your project's areas and your company's units, with their codes and names; and up to 100 mappings your company confirmed before, from any of its projects (the line and unit as written, the codes chosen, and whether the suggestion was corrected) |
| Proposing adjustments | The takeoff, the bidders' names, the bidder's lines with rates and amounts, and its exclusions. As evidence: the other bidders' comparable lines, the Jakten Assurance package basis bound to the package, and rate statistics from your company's rate library (low, median and high, counts and dates, without the projects or bidders they came from) |
| Analyzing qualifications | The bidder's qualifications, commercial terms and lines, and the checklist for the package's scope kind |
| The award narrative | What the award recorded: each bidder's name, revision, totals and rank, and the spread; the adjustments with their reasons; the package's risk register; the awarded bid's qualifications, as the bidder wrote them; and the open items acknowledged with the award |
| Polishing a letter | The letter as written, and the questions, notes and qualifications it was assembled from |
| Ask the bids | Your question (earlier questions are not sent), each current bid's summary, and the package's and bids' documents, with the file names of every document, including those not sent |
Reading bids, mapping, proposing adjustments, analyzing qualifications and Ask the bids also send the package's name, reference and scope description. Text a person types is sent as typed, and documents as they are, including any names in them.
The terms also list the package's risk register for Ask the bids. Quote does not send it yet; a later release may, and the terms already cover it.
Never sent: Jakten Risk data; your Assurance estimates, other than the package basis lines above; other projects' bids, documents, lines or takeoffs (the only data from other projects is the mapping examples and the rate statistics above); user names, email addresses, passwords and license keys added by Quote.
3. The route
Your Platform Server (or, in a single-user deployment, your workstation) sends each AI request to Jakten's gateway at licensing.jakten.net, the same host already used for license activation and validation. The gateway forwards it to Anthropic, PBC, the provider of the Claude models, and returns the answer.
- Jakten holds the provider account. Your deployment holds no AI provider credentials, and you have no separate agreement with Anthropic. Anthropic is a subprocessor of Jakten for this service.
- Requests identify the person who used a feature only by a coded reference, never by name or email address.
4. What is kept
- By Jakten's gateway: a usage record of each request (your company and installation, the feature, the model, the tokens, the credits, the time, the coded reference to the person, and the AI provider's reference for the request), and the provider's error message when it returns an error. It does not store the documents, instructions or answers.
- In your own Jakten database: Quote's suggestions and drafts, and who accepted, edited or rejected each one; and every question asked of Ask the bids with its answer and who asked, readable by everyone who can open the package.
- At Anthropic: Anthropic states that it does not use inputs or outputs of its commercial API to train its models by default, and deletes them within 30 days, except content it must keep by law or flags under its Usage Policy (kept up to 2 years). Jakten does not opt your data in to training. Overnight work is held at Anthropic, under Jakten's account, until Jakten retrieves it. The terms, section 5, give the dates these statements were confirmed.
5. Turning AI on and off
To turn AI on, a company administrator opens Administration → Licensing → Subscription and billing and, in the AI panel under AI data processing, selects Opt in…, reads the *Jakten AI Data Processing Terms* it links, and confirms. The opt-in covers the whole company and every Jakten module. Your company also needs a Jakten AI subscription (Company Administrator Guide, section 10).
To turn AI off, an administrator selects Withdraw… in the same place. Jakten's gateway then refuses AI requests for your company, so "off" does not depend on each workstation. A new version of the terms pauses AI until an administrator opts in to it.
Withdrawing deletes nothing already in your Quote database: accepted values, suggestions and decisions, and the questions asked, stay yours.
6. What still works without AI or without internet
| Works with AI off or offline | Needs AI and internet |
|---|---|
| Reading the lines of Excel, CSV, text PDF, Word and text bids | Reading scanned or photographed bids, and every document's fine print |
| Exact matches to your WBS, area and unit libraries, and mapping by hand | AI mapping suggestions |
| The takeoff, the leveling matrix, adjustments, and evaluated totals | Proposed adjustments |
| Sanity checks and the risk register | Analyzing qualifications |
| The award, its report, letters, and publishing to Assurance | The drafted award narrative and polished letters |
| The rate library | Ask the bids |
When an AI feature cannot run, Quote shows why: offline, AI off, not opted in, no subscription, or credits used up. It never skips the step silently.
